Available SharePoint Automations
There are two types of board automations available:
- SharePoint Lists
- SharePoint Files
SharePoint List Automations
SharePoint list automations can be used to send items from a monday board to a SharePoint list, or to send items from a SharePoint list to a monday board.
The field mapping in these automations allows you to map monday columns to SharePoint list columns.
Not all columns are currently supported. If there's a column you would like to see supported, please let us know (support@bonfireapps.com).
Send monday items to a SharePoint list
These automations will send items from a monday board to a SharePoint list using the specified field mapping.
Available recipes:
- When column changes add item to Microsoft account SharePoint site list with field mapping
- When an item is moved to group add item to Microsoft account SharePoint site list with field mapping
- When form is submitted add item to Microsoft account SharePoint site list with field mapping
- When status changes to something add item to Microsoft account SharePoint site list with field mapping
Send SharePoint list items to monday
This automation will send items from a SharePoint list to a monday board using the specified field mapping.
Available recipe:
- When a new item is added to Microsoft account SharePoint site list create an item in board
IMPORTANT: It can take up to 5 minutes for the automation to run after the trigger event occurs. Though usually it takes less than a minute.
SharePoint File Automations
Two-way file sync
The two-way file sync automations are great for automatically sending files back and forth between SharePoint and monday.
They work in the following way:
- For every new item on the board, it will create a new folder for the item in the specified SharePoint folder. The folder name will be the name of the item along with the item's ID in parentheses (e.g. My Item Name (123456)).
- If files are uploaded to the specified item's file column in monday, it will automatically add the files to the item's corresponding folder in SharePoint. If a folder does not exist for the item, it will create one.
- If a file is added to the item's folder in SharePoint, it will automatically add the file to the item's file column in monday.
IMPORTANT: It can take up to 5 minutes for a file uploaded in SharePoint to appear in monday. Though usually it takes less than a minute.
Available recipes:
- Create a two-way file sync between the file column and the Microsoft account SharePoint site drive folder
- Create a two-way file sync between the file column and the Microsoft account SharePoint site drive folder. Save the item folder link to the column.
- This automation is like the one above it, but it will also save a link to the SharePoint folder to the specified column.
Create a folder based on a template folder
These automations require a template folder. For example, this template folder could contain resources like documents, images, or other files.
Then, when the automation trigger occurs (e.g. when a status changes), it will make a copy of this folder and put this new copied folder in the specified destination folder.
One use case for this automation is employee onboarding. For example, if every employee should fill out a set of documents, this automation allows a folder of documents to be copied for every new employee that is added to a monday board.
Available recipes:
- When an item is created copy files from Microsoft account SharePoint site drive source folder into a new folder in the destination folder and save folder link to column
- When column changes copy files from Microsoft account SharePoint site drive source folder into a new folder in the destination folder and save folder link to column
- When status changes to something copy files from Microsoft account SharePoint site drive source folder into a new folder in the destination folder and save folder link to column
- When form is submitted copy files from Microsoft account SharePoint site drive source folder into a new folder in the destination folder and save folder link to column
- When button clicked copy files from Microsoft account SharePoint site drive source folder into a new folder in the destination folder and save folder link to column
Send files to SharePoint
These automations will send a file from a monday file column and save it in the specified SharePoint folder.
Available recipes:
- When column changes add file column to Microsoft account SharePoint site drive folder
- When button clicked add file column to Microsoft account SharePoint site drive folder
- When form is submitted add file column to Microsoft account SharePoint site drive folder
- When status changes to something add file column to Microsoft account SharePoint site drive folder
Create a SharePoint folder
These automations will create a new folder in the specified SharePoint folder and save a link for the folder to a column.
The folder will have the name of the item, along with the item's ID in parentheses.
Available recipes:
- When button clicked create a new folder in Microsoft account SharePoint site drive folder and save a link to column
- When status changes to something create a new folder in Microsoft account SharePoint site drive folder and save a link to column
